Missing Fuel Transactions — Troubleshooting

If fuel transactions aren't showing up for a truck or driver, the cause is usually one of the issues below.

 

Integration Is Not Set Up Correctly

What it means: Datatruck pulls fuel data from your fuel card provider through an integration. If the integration is misconfigured, transactions won't sync.

How to fix it:

  1. Go to Settings > Integrations > Fuel

  2. Verify the API key or credentials entered match what was issued by your fuel card provider

  3. Confirm the correct MC Number is linked to the integration

  4. If anything is missing or incorrect, re-enter the credentials and save

 

Truck or Driver Is Not Assigned

What it means: Fuel transactions are matched to a truck or driver using the card number. If the fuel card isn't linked to a truck or driver in Datatruck, the transaction will come through but won't display correctly.

How to fix it:

  1. Go to Integration > Fuel > Fuel Cards

  2. Find the card number associated with the missing transaction

  3. Confirm it's assigned to the correct Truck and Driver

  4. If unassigned, assign it and save

  5. Future transactions on that card will now sync correctly to the assigned truck/driver

 

If Transactions Are Still Missing

  • Confirm the transaction appears on your fuel provider's own portal. If it's not there, Datatruck won't receive it either

  • Check the sync date. Transactions may take time to appear depending on your provider's reporting schedule

  • Try clicking Sync manually on the Fuel Transactions page
