Getting Started with Datatruck: Account Setup Checklist

Setting up your Datatruck account requires uploading your company, customer, fleet, and staff data into the system. The Customer Success team will help you bulk upload this information quickly once you provide it.

You can submit your data in any of the following formats: CSV, XLS, XLSX, TSV, JSON, or YAML. Any spreadsheet with labeled columns works,  the team will clean and format the data to ensure a smooth transition.

 

Setup Checklist

Here is everything you need to get your account fully configured:

  • MC Company information

  • Customer / broker list

  • Truck information

  • Driver information

  • Dispatcher and staff information

  • Truck-to-driver assignments and payment tariffs

Each item is explained in detail below.

 

Step 1: Add Your MC Company Information

Datatruck supports companies with multiple MC numbers, all managed from one account.

To add your company, provide the following:

  • MC number

  •  Company Name 

  • USDOT

  • Company email address

  • Owner name   

  • Company Phone Number

  • Complete Address

  • Company logo

This information is entered under Settings in the platform. You can also add multiple offices under the same MC number and separate load visibility by office or group.

Step 2: Import Your Customer List

Your customer list should include all brokers, shippers, and carriers you have previously worked with. This can be exported from your previous CRM, TMS, or spreadsheet.

Required fields:

  • Company name (mandatory)

  • Address 

Optional but recommended fields:

  • address2, city, state, zip_code

  • billing_type, billing_address1, billing_address2 

  • billing_city, billing_state, billing_zip_code

It's okay if your list doesn't have all fields — the Customer Success team will work with whatever you have.

Step 3: Import Your Truck Information

Truck data is required for fleet management and driver assignment.

Fields needed for bulk upload:

  • make

  • model

  • year

  • plate_number

  • unit_number

  • vin

Step 4: Import Your Driver Information

Driver data is required for load management and compliance tracking.

Fields needed for bulk upload:

  • first_name

  • last_name

  • birthdate

  • contact_number

  • email_address

  • driver_license_id

  • driver_license_state

  • driver_license_expiration


Step 5: Import Your Dispatcher and Employee Information

Employee data is required to set up user accounts and access roles in the system.

Fields needed to create users:

  • first_name

  • last_name

  • department

  • position

  • nickname

  • phone_number

  • email

  • access_role


 

Step 6: Assign Trucks to Drivers and Set Up Payment Tariffs

Once all data is imported, two final assignments are needed before the system is fully operational:

Truck-Driver Assignment Match each driver to their assigned truck. This is done from the HR Management or Fleet Management section.


 

Payment Tariff Assignment Each driver must be assigned a payment tariff so that salary calculations run automatically when loads are completed. This is configured in the Accounting section of the driver's profile.
