Driver payroll tracks earnings, deductions, bonuses, fuel, toll, and balance transactions for each driver over a settlement period.
Where: Payroll > Driver
How to Create a Driver Batch
Go to Payroll > Driver
Click Create New Batch
Select the date range and MC Number
Select the trips to include and click Add
Open the batch to review each driver's statement
What's Inside a Driver Settlement
Each driver statement contains:
Settlement Summary: driver name, settlement ID, date range, driver type
Earnings Summary:
Earnings: calculated from trips based on the driver's tariff
Other Pays / Reimbursements: bonuses or reimbursements added
Deductions / Advances: amounts deducted from pay
Net Pay: final take-home amount
Fuel & Balances:
Balances: outstanding amounts (advances, loans, safety charges, etc.)
Fuel & Toll : synced from fuel card/toll provider integration
Trip Summary: total pay, total gross, trip count, miles, RPM
Tabs Inside the Statement
Trips: all trips included in this settlement with load details, pay, miles, and status. Click Add Trips to include additional trips manually or click Delete to remove any.
Fuel: fuel transactions assigned to this driver for the period. Fuel data syncs automatically from your fuel card integration. If a transaction is missing, use Manual Create or check your integration settings.
Toll: toll charges for the period, synced from your toll integration (e.g., PrePass, EZ Pass, Bestpass).
Balances: open balance items to apply this settlement (advance, loan, escrow, safety, money code, etc.). Click Review next to Balances in the header to see all open items and select which ones to apply. Click See Transactions to view the full history of any balance type.
Recurrent Charges: recurring deductions or other pay that apply automatically every settlement based on the driver's scheduled payment setup. These are configured on the driver's profile under Accounting > Scheduled Payments. To add or edit recurring charges for future settlements, click Recurrent Charges at the top right of the statement.
One-Time Charge: manually add a deduction or other pay that applies to this settlement only. Enter the type, amount, quantity, and description, then click Add.
Scheduled Payments: payments (e.g., loan repayments) that apply on a recurring schedule. Manage these from the driver's profile under Accounting > Scheduled Payments.
Attachments & Notes: upload supporting documents (e.g., receipts, rate cons) and add internal notes visible to your team. Click Add Attachment or Add Note within this tab.
Finalizing
Click Post to lock the statement
Click Send to Driver to deliver the statement to the driver
Click Download to export as PDF
