How To Create Driver Statement

What Is a Driver Statement?

A driver statement is a payroll summary generated for a driver at the end of a settlement period. It reflects all trips, earnings, deductions, and other charges for that period. Once finalized, it can be exported as a PDF and sent directly to the driver.

Step 1 — Create a New Salary Batch

  1. Go to Accounting > Salary > Salary Batches

  2. Click Create New Batch


Step 2 — Add Trips to the Batch

Once the batch is created, Datatruck will pull in all delivered trips that fall within the selected date range and MC. 

  1. Set the date range for the settlement period

  2. Select the MC the batch belongs to

  3. Review the trips listed and select the ones to include in this settlement

  4. Click Add 




Each driver who has trips in the batch will automatically get a statement generated for them. Any recurring deductions scheduled on a driver's profile will also be applied automatically at this point.


Step 3 — Review and Adjust the Statement

  1. Open the batch and click on a driver's statement to view it

  2. Review all sections: trip earnings, deductions, other pays, and balances

  3. To make changes:

    • Click Add Charges to add a bonus, reimbursement, or one-time deduction

    • Use the Delete option on any line item to remove a charge that shouldn't be there

    • Use Add Trips if a trip was missed and needs to be included

 

Step 4 — Preview the Statement as PDF

Before posting or sending, always preview the statement to confirm everything looks correct.

  1. Click Export as PDF in the top right of the statement

  2. Review the formatted statement as the driver will see it — all earnings, deductions, and net pay

  3. If anything needs adjustment, go back and edit before proceeding

 

Step 5 — Post and Send to Driver

Once the statement is accurate:

  1. Click Post to finalize the settlement — this locks the statement and marks it as posted


     

  2. Click Send to Driver to deliver the statement directly to the driver

Important: Once a settlement is posted, it cannot be edited. If changes are needed after posting, use the Undo button to revert it to Unposted status, make the corrections, then post again.
