How To Create Scheduled Truck/Trailer Tasks

Scheduled tasks help ensure your fleet’s maintenance activities like inspections, renewals, or repairs are carried out consistently and on time. Follow the steps below to create a scheduled task for trucks or trailers in DataTruck.

 

Step 1: Create a New Task

  1. From the left sidebar, go to Fleet Management > Maintenance.

  2. Click on the Tasks tab.

  3. Click Create Task on the top-right corner of the screen.

  4. Choose whether the task is for a Truck or Trailer from the dropdown.

 

Step 3: Fill in Task Information

In the New Task form:

  • Truck/Trailer: Select the vehicle from the dropdown list.

  • Type: Choose the task type (e.g., Inspection, Renewal, Repair).

  • Procedure Name: Select the maintenance procedure (e.g., PM, Oil Change, Safety Inspection).

  • Assignee: Assign the task to a specific user.

  • Note:  Add any relevant comments or instructions.
     


Step 4: Enable Tracking

You can track tasks by date or by miles:

Track by Date

  • Toggle Track by Date to ON.

  • Set the Repeat interval (e.g., every 30 days, 90 days, etc.).

  • Enter the Date Interval (days) or select a specific Due Date.

  • Add an Advanced Notice Message if you want a reminder before the due date.

  • The system will automatically calculate and display the Next Expiry Date.



    OR

Track by Miles

  • Toggle Track by Miles to ON.

  • Set the Repeat option for recurring mileage-based tasks.

  • Enter the Odometer Interval (miles) to define when the next task should trigger.

  • Add an Advanced Notice Message for early alerts.

  • The Next Due Miles field indicates when the next service is due.
     


     

Step 6: Save the Task

  • Once all details are filled, click Create Task to save it.

Note: You cannot mark these tasks as completed while the repeat option is enabled. They will remain in the To-Do List until the task is archived or if the repeat option is turned off.
