How To Set-Up Quickbooks (QBO) Invoice Mapping

Once you’ve successfully integrated Datatruck with QuickBooks Online (QBO), the next step is to configure invoice mapping. Proper mapping ensures that invoices and line items sync correctly between Datatruck and QBO.

Access Invoice Mapping

  1. Go to Settings > Integrations > Accounting > QuickBooks.

  2. Click on the View icon to open the integration details.

  3. Navigate to the Invoice tab.

Map Datatruck Line Items to QuickBooks Items

Under Account Mapping Items, you’ll see a list of Datatruck load charges (e.g., Linehaul, Fuel Surcharge, Lumper, Detention, etc.).

  1. For each Datatruck line item, select the corresponding QBO Item from the dropdown.

    • These should match items that already exist in your QuickBooks account.

  2. Ensure all applicable charges are properly mapped to avoid sync issues. 

  3. Click Save once the mapping is complete.





Once you send the invoices to QBO, you’ll see this message, followed by a success message. If an invoice doesn’t get sent to QBO, check the Is Sent column,  it will show the error message.
 



Choose your preferred sync type:

  • Two-way sync: Syncs data both ways between Datatruck and QBO.

  • One-way sync: Syncs data only from Datatruck to QBO.

  • If Two-way Sync is enabled:

    • Marking an invoice as Paid in QBO will automatically update the invoice status to Paid in Datatruck as well.

Important Notes

  • Make sure the selected MC number is associated with the connected QBO account.

  • All QBO items used for mapping must already exist in QuickBooks. 

  •  Incorrect or missing mappings may prevent invoices from syncing properly
