Keeping track of document expiration dates is essential for compliance and smooth operations. Datatruck allows you to set up automatic notifications for truck and driver documents (such as registration, inspection, or licenses) so you never miss a deadline.
Step 1: Navigate to Expiration Notifications
Go to Settings > Automations > Expiration Notifications.
You’ll see a list of predefined events such as:
Truck task by mile
Truck task by date
Truck annual inspection
Truck registration
Truck document
Driver license
Driver tasks
Each row shows:
Event type (e.g., Truck registration)
Days/Miles before expiration
Notification status (enabled/disabled)
Receivers (who will be notified)
Step 2: Edit Notification
Click the pencil (edit) icon next to the event you want to edit.
The Update Notification panel will open.
Here, you can set:
Days before expiration: How many days in advance you want to be notified.
Due type: Day or mile, depending on the event.
Notification status: Toggle on/off.
Receivers: Add one or multiple users to receive notifications.
Step 3: Select Notification Channels
You can choose how the notifications are delivered:
Web: Appears as an in-app notification inside Datatruck.
Email: Sends notifications directly to the user’s email inbox.
Check the appropriate box(es) based on your preference.
Step 4: Save Your Notification
After configuring all fields, click Save.
The notification will now appear in the Expiration Notifications list and will automatically alert the selected users when the set conditions are met.
With these settings, your team can stay proactive about expiring documents, reducing the risk of compliance issues and last-minute disruptions.
