How to Reflect Work Order Being Reimbursable Or Billable To The Driver In Salary Batch

In some cases, you may need to reflect a work order as either reimbursable or billable to the driver. It’s important to properly assign it and ensure it reflects in driver balances and settlement. Follow the steps below to ensure accuracy in driver balances.

Step 1: Assign the Driver & Mark Billable or Reimbursable 

  1. Create or open an existing Work Order.

  2. Scroll down to the Tasks section.

  3. Choose the Driver responsible for this task.

  4. Select whether the transaction should be:

    • Reimbursable to the driver, or

    • Billable to the driver.

  5. Enter the amount.

  6. Click the green tick mark to approve the task.

  7. Click Update Work Order to save changes.

  8. Finally, click Approve to lock in the work order.

Step 2: Add the Work Order to Driver Balances from the Salary Batch

  1. Go to Accounting and then to Salary.

  2. Click Create by Driver to start a new salary batch.

  3. Select the relevant driver.

  4. Once created, open the batch by clicking on the Salary ID.

  5. Click Review(in blue) in front of the balances.

  6. In the review window, click See Transactions.

  7. A side panel will open, showing any available work order transactions, labeled as Billable or Reimbursed. As well as open items.

  8. Select the relevant transactions.

  9. Click Save and it will be added in Driver Balances

Step 3: Verify in the Driver Settlement

  1.  Download the PDF of the driver’s settlement or open in the Web View.

  2. The selected work order amount will appear in the Other Pay section.
    (Note: if the work order is Billable it will appear in the Deductions)
