How To Use Watchdogs in Datatruck

The Watchdogs feature in Datatruck helps you stay on top of invoices and payments by allowing you to track pending actions, follow-ups, and deadlines, all in one place. You can add notes, mark tasks as complete, and archive them once resolved.

 

What Are Watchdogs?

Watchdogs act as reminders or alerts linked to invoices.
They’re especially useful for tracking:

  • Invoices that haven’t been paid yet.

  • Customers who need to be contacted.

  • Internal follow-ups such as “Email broker,” “Call shipper,” or “Need updated POD.”

You can view all Watchdogs across your account in Accounting > Invoices > Watchdogs.


How To Add a Watchdog

  1. Go to Accounting > Invoice and open the invoice you’d like to track.

  2. Scroll down to the Watchdogs section and click + Add Watchdog.



  3. In the Add Watchdog panel (right side of the screen), fill out the following details:

    • Notification Note: Add a short note or reminder (e.g., “Call broker about payment”).

    • Deadline: Choose a due date for this follow-up.

    • Scheduled Payment Date: Add the date you expect the payment.

    • Reason of Non Payment: Mention the reason (e.g., “Missing POD”).

    • Mark as Completed: Check this once the issue is resolved.

  4. Click Save to add the Watchdog.

 

How To Manage Watchdogs

To get a quick overview or manage all tasks:

  1. Navigate to Accounting > Invoices > Watchdogs.

  2. Here, you can:

    • View all to-do, completed, or archived Watchdogs.



    • Mark a Watchdog as Completed when the issue is resolved.

    • Move it to Archived for record keeping.

 

Why Use Watchdogs

  • Helps prevent missed payments or delayed follow-ups.

  • Keeps communication organized between accounting and dispatch teams.

  • Centralized tracking of all invoice-related reminders.
