Aging Report Of Invoices

The Aging Report in Datatruck helps you track unpaid invoices, monitor overdue payments, and manage your company’s receivables efficiently. It provides a detailed overview of all invoices within a selected period, making it easier to identify which customers owe payments and how long those payments have been pending.

How to Access the Aging Report

  1. Go to the Accounting module.

  2. Select Invoices.

  3. Click the Aging Report tab at the top of the screen.

You’ll now see all invoices listed with their key details.



Important Columns to Check

Invoice Status: Shows whether the invoice is Invoiced, Paid, or Short-Paid.

Invoice Sub-Status: Gives more detail on the payment stage, such as Short-Paid or Overdue.

Aging Days: Displays the number of days since the invoice date.

Aging Status: Indicates whether the invoice is Overdue or Not Overdue.

Accrual: Shows the amount recognized as earned but not yet paid.

Ending Balance: The remaining total balance on the invoice.

Balance Due: The amount still pending payment from the customer.



Filters and Actions

At the top of the page, you can use the following options:

  • Filter: View invoices by customer, date range, status, or other criteria.

  • From / To Date: Select a custom date range for your report.

  • Bulk Actions: Perform actions such as Payment Date, Collected Date and Sub-Status.



  • Export Options: Export Aging Report: Download the report in Excel or PDF format.

Managing Invoices in the Aging Report

In the Aging Report, you can not only view invoice details but also take actions directly from the report:

  1. Select an Invoice:
    Click the checkbox next to the invoice you want to manage. This allows you to perform bulk actions on one or multiple invoices.

  2. Mark a Payment:
    Once a payment has been made for a selected invoice, you can click Mark a Payment. This updates the invoice status and the balance accordingly.

  3. Reconcile an Invoice:
    If an invoice has been matched with the payment or accounting entry, click Reconcile. This marks the invoice as reconciled in the system, helping you track which invoices are fully accounted for.

These options make it easy to manage outstanding invoices directly from the Aging Report without navigating to multiple sections.
