Custom Reports - A Guide

Custom Reports in Datatruck, as the name suggests let you build reports tailored to your specific needs. Instead of relying on preset formats, you choose the exact data, filters, and fields you want  which gives you more control and clarity over your operations. You can create Custom Reports for three main areas: Loads, Drivers, and Trucks. Whether you're tracking loads, reviewing driver info, or managing your fleet, custom reports help you get the right insights, fast.  
Here's how to create a custom report: 

Step-by-Step: Creating a Custom Report

  • Go to the Dashboard
    From your Datatruck go to Dashboard, and click on Custom Report (it’s the last option in the list).

  • Click “Create New”This opens a new report setup screen.

  • Enter Your Email
    In the Email field, enter the email address where you want the report to be sent.

  • Choose Report Type
    Under Report Criteria Type, select one of the three options:

    • Loads

    • Trucks

    • Drivers

  • Select Report Fields
    Once you choose a report type, a list of options will appear. These are the data fields you can include in your report. Check the boxes for the ones you want to add.

  • Save as a Template
    To save time on future reports:

    Enter a Report Name
    Give your report a clear name.

    Click “Save Template Report”
    This will save all your selected options, so the next time you create a report, everything is pre-filled.

A success message will confirm that your template has been saved. The next time you need a similar report, you can simply select the saved template to speed things up. 

  • Send the Report
    After selecting your desired fields, click Send Report. The report will be generated and delivered to your email.

Practical Examples for Each Report Category

Custom Reports for Loads 

  1. In the Period Section, set the Date Range and Time for the loads you want to analyze.

  2. Enter the MC Number to filter loads related to a specific carrier or authority. 

  3. Write a short description about this specific report.
  4. In the Include section, checkmark the type(s) of loads you want to see.

    • For example, to see all the unpaid loads, check only Unpaid Loads.

  5. Choose options from the checkmark list like Load ID, Load Status, Load Pay, Invoice Status, Invoice Number etc by your requirement.

  6. Click Send Reports , the report will be emailed to you.

Custom Reports for Drivers 

  1. In the Include section, select whether you want to see All Drivers or only Active Drivers.

  2. Example: To review you how many Co-Drivers you have, select the option Team Driver, along with First and Last Name, Driver Type, or any other options suitable for you. 

  3. Click "Send Report" to receive it via email.

Custom Reports for Trucks

  1. In the Include section, select Active Trucks, Inactive Trucks, or All Trucks based on your needs.

  • Example: To review your active trucks and upcoming maintenance, create a report including the Unit number, Make/ Model / Year, VIN, Last Annual Inspection Date, Registration Expiry Date, Ownership (Owned / Leased), Assignment Status (etc. whichever field suits you well)
  • Send the report to your email for easy review.

Custom Reports give you the flexibility to generate detailed reports in just a few clicks, helping you keep your operations informed and organized.
