How Private and Public Notes Work on a Load

In Datatruck, you can easily add notes to individual loads to keep track of updates, internal comments, or important instructions. These notes are separated into two types: Private and Public, each with a specific purpose and visibility.

How to Add a Note to a Load

  1. Go to the Load Management section from the sidebar.

  2. Select the load you want to work with.

  3. On the right side, under the Activity box, click on the Notes tab.

  4. Click New Note.

  5. Select either the Private or Public tab. 

  6. Type your message in the text box click Save.

Private Notes (Internal Notes)

  • Visibility: Only visible to your internal team (e.g., dispatchers, managers, admins).

  • Purpose: For internal communication such as driver instructions, updates, or reminders not meant to be shared externally.

  • Use Case: “Driver needs to be home this weekend, schedule accordingly.”

Private notes act as internal notes and are not shared with brokers or carriers.

Public Notes

  • Visibility: Can be shared externally, such as with the broker.

  • Purpose: Use for information that can or should be visible to external partners.

  • Use Case: “Driver was at facility for over 5 hours, requesting detention”

Public notes are visible to brokers making them ideal for sharing important updates, issues, or requests related to the load.

Click the Share button at the top, then select Copy Link and send that link to the broker.

When the broker opens the link, they'll see the note written for them in the Notes section.
