How to Create or Deactivate a User

Overview

In Datatruck, a User is any employee in your company. You can create new users, assign their role and pay, update their login credentials, and deactivate them when they leave. You cannot permanently delete a user.

 

Part 1: Create a New User

Step 1:  Go to HR Management

Navigate to HR Management > Users > Active Employees from the left sidebar.

Step 2: Click "Create Employee"

Click the Create Employee button in the top-right corner of the page.


 

Step 3:  Fill In the Employee Details

Complete the following fields:

FieldDescription
First NameEmployee's first name
Last NameEmployee's last name
Email AddressUsed as their login username
PositionSelect their role from the dropdown
Send Info to Email Check this box so they receive login credentials by email

Once filled in, click Submit (top-right corner) to create the account.



Note: The employee will receive an email with their username and a temporary password. They can log in and change their password at any time.

 

Part 2: Update Login Credentials

If an employee needs a new username, email, or password reset:

  1. Go to HR Management > Users
  2. Find the employee and open their System Login tab
  3. Click the pencil (edit) icon next to the field you want to update
  4. Click Resend to Email to send the updated credentials to the employee's email


Part 3: Deactivate a User

You cannot delete users in Datatruck. You can only set their status to Inactive.

  1. Open the employee's profile from HR Management > Users
  2. Locate the Status toggle in their Employee Information section
  3. Switch the status from Active > Inactive

The user will immediately lose access to the platform. Their historical data remains intact.
