AI Updater helps you send timely load updates to brokers at key stages, such as "In-Transit" or "Delivered"—without manual intervention. You can schedule messages, add multiple recipients, or even let the AI assistant manage broker communications. You can step in anytime to take control of the conversation.
How to Set Up AI Updater
1. Subscription and Activation (Admins only)
To start using AI Updater:

Navigate to Settings and select Apps & Marketplace.

Locate and select AI Updater, then click Subscribe.

Enter your payment method (credit/debit card or bank account).
After successful subscription, an Open button will become visible:
2. Granting User Permissions (Admins only)
Once subscribed, the admin will be able to give proper permission to the users:
- Select users who should have access to the AI Updater, such as those with an Updater role.
3. Global Settings Configuration
Clicking the Open button will lead you to the Global Settings of AI Updater:
Settings Explanation:
- By default, skip automatic emails to brokers:
- If checked, updates to brokers will not automatically send without your approval.
- If unchecked, emails automatically send when notifications expire.
- Notifications asking to skip or Approve & Send will appear on the platform with a decision window of 3 minutes and 30 seconds.
4. Email Configuration
Click on Email Settings:
- Add email addresses that will send updates to brokers (Gmail, Outlook, or custom emails are supported).
- Configure the template:
- Template Name (identification purpose)
- Template Text (customizable using predefined fields)
- Frequency (specify how often emails are sent while the load is in-transit)
5. Template Customization
Customize your update emails by incorporating predefined fields such as:
- Load ID
- Current location
- ETA
- Miles remaining
- Engine status
Example:
Hello {{ customer_name }},
Your load (ID: {{ load_id }}) is currently at {{ current_location.location_name }}.
Current ETA: {{ eta_datetime }}
Miles remaining: {{ eta_miles }}
Status: {{ status }}
Thank you.
After completing your configurations, click Save.
Turning on AI Updater for a Specific Load
AI Updater is not automatically activated for every load.
To activate for a specific load:
- Navigate to Load Management and select a load in In-Transit mode.
- Go to the Status Updates tab, where you can enable updates specifically for this load.
- To activate AI Updater for this load:
- Check Send Via Email.
- Default settings will populate based on the global configuration.
If you'd like to customize further:
- Click Email Settings for this load.
- Select an email address from the dropdown (populated from global settings or add a new one).
- Choose or create an email thread. Existing threads will auto-populate TO and CC emails.
- Set the update frequency specifically for this load.
- Click Save.
Notifications
Once activated, notifications will appear according to the configured frequency, allowing you to skip or approve sending updates.
